Partnership Activation Lead (one per venue)

Position Title: Partnership Activation Lead
Reports To: Partnership Activation Chair
Term: June 2021 to September 2022

The Partnership Activation Lead is responsible for the  planning and operations of activities related to contractual sponsorship obligations at a designated venue. For example, the Partnership Activation Lead for Royal Canadian Henley Rowing Centre is responsible for understanding and overseeing the partnership activation that takes place at Royal Henley Rowing Centre to ensure all expectations are met in terms of bringing sponsor activations to life.

Overview:

The Partnership Activation Lead is a part of two groups: the Partnership Activation  Committee, made up of representatives from each venue, and a Venue Team. Every Venue Team is made up of volunteers that represent aspects of the Canada Summer Games (e.g. Sport, Transportation, Technology, Volunteer Services, Medical, Accessibility, Merchandise/Ticketing, Partnership Activation,  etc.). Led by the Venue Team Lead, the  Venue Team is responsible for the overall planning, coordination and operations of their venue during any test events and during the Niagara 2022 Canada Summer Games.

The Partnership Activation  Lead is responsible for overseeing the partnership activation requirements with each sponsor at their specific venue. The Lead will ensure all contractual obligations are met in areas including space requirements, tables/chairs, electricity needs, etc. The Partnership Activation Lead is responsible for ensuring these obligations are properly planned for up until the games, and that they are met and executed efficiently on each day of the Games. 

Duties & Responsibilities:

Phase I – Initial Planning (15 months out)

  • Participate in one Partnership Activation Committee Meeting Monthly
  • Collaborate with the Partnership Activation Functional Area to identify the scope of the partnership activation operations for a designated venue

Phase II – Integrated Planning (1 year out)

  • Participate in two monthly meetings: Venue Team Meeting and Partnership Activation Committee Meeting
  •  Collaborate with Venue Team Lead and other Functional Areas to plan out space requirements at the venue for each venue sponsor, with regards to things like tables/chair requirements, electricity, lighting, etc.

Phase III – Implementation and Games Operations (4 months out to end of Games)

  • Participate in two monthly meetings: Venue Team Meeting and Partnership Activation Committee Meeting
  • Responsible for job-specific training, scheduling and supervision of Games time Sponsorship Activation volunteers at respective venue. 
  • Work with venue sponsors to ensure that they are able to set up their spaces successfully and have everything they require for a phenomenal games experience

  • Strong leadership skills: public speaking, motivating and facilitating collaboration
  • Visionary with devotion to teamwork and strong relationship management abilities
  • Strong organizational and planning skills 
  • Exceptional approach to problem-solving, getting to collaborative solutions and working through conflicting ideas
  • Excellent written and oral communication skills in English; ability to communicate in French is an asset
  • Ability to work effectively with other  volunteers
  • Ability to make thoughtful, efficient, and effective decisions under potentially stressful situations/conditions
  • Works well under pressure and is proactive

Prerequisites:

  • Excellent planning and organizational skills 
  • Ability to obtain required security clearances and, if required, a drivers’ abstract
  • Ability to work effectively with other team members and able to communicate clearly and concisely 
  • Background in marketing or public relations considered is an asset

Time Commitment:

  • From appointment (Spring 2021) to completion of the Games (August 2022) including extended hours during Game Time (August 6-21, 2022).
  • Ability to attend two meetings per month, with increasing frequency as we approach Games-time
  • Availability during test events at respective venue as applicable
  • Participation in Games-wide Forward Planning sessions (total of five days over 18 months)
  • During the Games, venues can operate long hours -  sometimes up to 14 to 16 hours a day for the entire duration of the sport competition schedule. Availability during Games is required, including 1-2 days prior to sport competition starting for venue set-up
